1. Overview

White Dome Information Technology Company (referred to as "White Dome", "we", "our", or "us") is a technology services provider operating in the State of Kuwait. We are committed to protecting the privacy and personal data of every individual who engages with our services, visits our website, or submits an inquiry through any of our communications channels.

This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and what rights you have regarding your own data. It applies to all clients, prospective clients, website visitors, and anyone whose personal data we handle in the course of our business.

White Dome operates in full compliance with the regulations issued by the Communication and Information Technology Regulatory Authority of Kuwait (CITRA), including the Data Privacy Protection Regulation (CITRA Decision 2024/26). Where our obligations under Kuwaiti law are more stringent than other applicable standards, Kuwaiti law governs.

2. Personal Data We Collect

We collect only the personal data that is necessary for the purpose for which it is being collected. This means we do not collect information beyond what is reasonably required to provide our services or respond to your inquiries.

  • Business name and position
  • Email address
  • Phone number
  • Project description and requirements
  • Any other information you choose to share in your inquiry

2.2 Information Collected Automatically

When you visit our website, our hosting infrastructure may record certain technical data, including:

  • Browser type and version
  • Pages visited and time spent on each
  • Date and time of your visit

Such data is treated strictly as confidential and is governed by the specific terms of the professional services agreement with that client. We do not process client business data for any purpose other than delivering the agreed service.

3. How We Use Your Personal Data

We use the personal data we collect for specific, clearly defined purposes only. We do not use your data for unrelated purposes, and we do not sell your personal data to any third party.

Responding to Inquiries

When you contact us through our website or by email, we use your name and contact details to respond to your message and discuss your requirements.

Service Delivery

Once engaged, we use your information to plan, develop, and deliver the technical solution you have contracted, and to communicate progress and decisions throughout the project.

Contractual Obligations

Your contact and billing information is used to administer the service agreement, issue invoices, and maintain the business relationship as agreed.

Legal and Regulatory Compliance

We may retain and use certain personal data as required to fulfil our obligations under Kuwaiti law and CITRA regulations, including record-keeping requirements.

Service Improvement

Aggregated and anonymised data about how our website is used helps us understand what is useful to visitors and improve the information we provide. This is done without linking any activity to an identifiable individual.

Communication Updates

With your explicit consent, we may send you relevant updates about our services or industry developments. You may withdraw this consent at any time by contacting us directly.

4. Data Storage and Security

We take the security of your personal data seriously. White Dome implements technical and organisational measures aligned with industry best practices to protect personal data from unauthorised access, disclosure, loss, or alteration.

Our security measures include:

  • Encrypted storage of all personal data at rest and in transit, using industry-standard protocols
  • Restricted access controls: only personnel with a genuine need access personal data, and all access is logged
  • Regular security reviews of systems that store or process personal data
  • Confidentiality obligations for all staff and contractors
  • In the event of a data breach that may affect your rights, we will notify you and the relevant authorities in accordance with Kuwaiti law and CITRA requirements

No method of transmission over the internet is completely secure. While we apply rigorous safeguards, we cannot guarantee absolute security. We encourage you to contact us through secure channels and avoid sharing sensitive information over unsecured networks.

5. Data Sharing

White Dome does not sell, rent, or trade personal data to any third party. We do not share your personal data with external organisations except in the following limited and specific circumstances:

  • Service providers acting on our behalf: Where we use a cloud hosting provider, email service, or similar tool to operate our business, that provider may technically handle data as part of their infrastructure. We only use providers who commit to appropriate data protection standards, and they are not permitted to use your data for their own purposes.
  • Legal obligations: Where we are required by Kuwaiti law, a court order, or a lawful request from CITRA or another competent authority to disclose personal data, we will comply with that requirement. Where legally permitted, we will notify you before complying.
  • Business transfer: In the event of a merger, acquisition, or transfer of business assets, personal data held by White Dome may be transferred to the successor entity. We will notify affected individuals in advance and ensure the successor entity is bound by equivalent privacy obligations.

6. Data Retention

We keep personal data only for as long as is reasonably necessary for the purpose it was collected, or as required by Kuwaiti law.

  • Inquiry and contact data (no project undertaken): Retained for up to 12 months from the date of last contact, then securely deleted.
  • Client records arising from a completed project: Retained for a minimum of 5 years to meet our legal and contractual obligations under Kuwaiti commercial law, then securely deleted or anonymised.
  • Website analytics data: Retained in anonymised, aggregated form only.

When data is no longer required, it is permanently deleted from our systems or rendered irreversibly anonymous.

7. Your Rights

Under the CITRA Data Privacy Protection Regulation and applicable Kuwaiti law, you have the following rights regarding your personal data. We will respond to any request within 15 business days.

Right to Access

You have the right to request a copy of the personal data we hold about you, along with information about how it is used.

You may request that we delete your personal data. We will comply unless we are required to retain it by law or for legitimate business purposes, in which case we will explain why.

Right to Restrict Processing

You may ask us to restrict how we use your data in certain circumstances, for example while you dispute its accuracy or object to how it is being used.

Right to Withdraw Consent

Where we process your data based on your consent, you may withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing prior to that withdrawal.
